MainStage Irving Las-Colinas Administrator Position

 

General Job Description: This position is part-time, not to exceed 25 hours per week and reports to the Board President. The main function of the Administrator position is to act as a communications hub, ensuring that all critical information is passed on to the appropriate people. The Administrator manages the day-to-day tasks required to run the organization. The applicant must be very detailed-oriented and organized, capable of multi-tasking, customer service-oriented, and a self-starter.

Compensation: $20/hour

Job Responsibilities:

  • Office Tasks – respond to e-mails and phone calls, manage the organization calendar, maintain office supplies, pick up mail.
  • Financial Tasks – perform basic bookkeeping skills including processing invoices, paying bills, entering revenue and making deposits; maintaining records and files; prepare financial reports for board meetings and grant applications, facilitate yearly audit; assist the Treasurer as requested.
  • Show Production Tasks – interface with Irving Arts Center to book annual facility rentals, manage and maintain audition lists in Constant Contact, set up auditions with the show director and producers and post in Sign-Up Genius; assist producers as needed with show-related paperwork; maintain files of all contract paperwork and other important production information for each show.
  • Board of Director Tasks – attend all board meetings, compile and distribute all materials for board meetings; create board agendas, provide an Administrator’s Report on information useful to the board and tasks completed, provide support as requested to the board directors, maintain Board Matrix, maintain new Board members materials folder, provide new board and committee members with access to folders and calendar, update and maintain members list for annual membership meeting, create and send invitations as needed to various meetings.
  • Marketing Assistance Tasks – interface with the Irving Arts Center box office regarding season ticket information, assemble and mail season ticket packets to the season ticket holders, and assist with marketing efforts as requested.
  • MainStage 222 Rental Tasks – prepare rental contacts for 222 studio and assist 222 producing committee as requested. Field rental inquiries and give tours of studio to potential rental clients.
  • Miscellaneous Tasks - attend monthly Irving Arts Board meetings, and Irving Blvd Stakeholder meetings and report on them to the board, assist in completing Irving Arts Board annual grant applications and reports. Prepare quarterly and annual reports for the City of Irving on MainStage activities.
  • Other tasks may be assigned.

Qualifications:

  • Basic knowledge of community theater operations
  • Experience using PowerPoint, Excel, Word, Google Workspace
  • Experience using QuickBooks or other accounting software is a plus
